Macmillan Publishers is a global book publishing company headquartered in New York with offices in 41 countries and a subsidiary of the Holtzbrinck Publishing Group, a privately-held German company that owns publishing companies worldwide.

The challenge.

Exponential sales growth of digital publications (eBooks and eJournals) in the North American market (US and Canada).

  • Complex digital sales tax legislation in each US state and province in Canada.
  • Inadequate processes and systems for calculating and reporting digital sales tax.
  • Potential exposure to significant tax penalties and fines for non-compliance.
  • Project initiated 12 months earlier, but it had stalled with little progress made.

The solution.

  • Introduced a structured implementation programme for implementing digital sales tax automation for the US and Canadian markets.
  • Selected and implemented Vertex Tax Management software to manage the end-to-end digital sales tax process, including tax determination, exemption certificate management, compliance and reporting.
  • Developed a comprehensive sales tax matrix to validate economic nexus liability by state and province for both the US and Canadian markets.
  • Integration to the global Oracle ERP platform and Eclipse Subscriptions Management system for accurate invoicing and debtors management.

The result.

Delivered digital sales tax automation for the $400m eCommerce business in the US and Canada.

Delivered on time and budget where the previous programme had failed, by bringing together a small expert team of Fantail, Macmillan, PWC and Vertex resources.

Future-proofed the solution by creating a global tax engine allowing rollout to the other regions (EMEA & APAC) and Macmillan entities worldwide.

Resolved historical sales tax compliance issues state-by-state, removing the risk of significant seven-figure fines and penalties.
