Dentsu International

Global travel and expense management digitalised.

Who is Dentsu?

Dentsu International is a global media, digital marketing and communications organisation headquartered in London. With revenues of £5b and 46,000 employees in 143markets, it operates under eight international brands: Carat, iProspect, Isobar, Merkle, MKTG, Posterscope, DentsuX and Dentsumcgarrybowen.

The challenge.

Dentsu spends millions of dollars annually on business travel and expenditure across its expansive global matrix of companies, brands and teams operating at a local, regional, and global level.

  • Managing and reimbursing thousands of employees across hundreds of brands is manual, fragmented, inefficient and costly.
  • Lost productivity, inconsistent processes, non-compliance, and siloed data mean lost opportunities for savings and efficiency gains worth hundreds of thousands of dollars.
  • Dentsu selected SAP Concur, the best-in-class digital application for travel and expense management globally.
  • The in-house implementation has stalled with limited progress in the first nine months and no clear path for meeting its ambitious rollout targets over the next 24 months.
  • Dentsu has also commenced a group-wide Finance Transformation Programme. It is automating and standardising people, processes and technology globally onto a core finance platform of Microsoft Dynamics 365, SAP Concur, Bellin Treasury and Blackline.

The solution.

Dentsu selected Fantail, recognising it needed a consultancy deeply experienced in SAP Concur and highly capable of delivering complex, fast-paced, digital transformation globally.

Fantail's winning approach.

  • Introduced agile methodology for deploying SAP Concur simultaneously into multiple markets, in weeks instead of months.
  • Provided a small, highly experienced deployment team and recruited an in-house support team based in India.
  • Designed and rolled out a global model (one consistent configuration), supporting global and local T&E policy, tax, statutory and integration requirements.
  • Introduced full mobile functionality for any time, anywhere, any device capability.
  • Developed a comprehensive deployment playbook for each phase of the implementation lifecycle.
  • Created a global roadmap identifying target markets providing visibility for the overall programme.
  • Created a governance structure with the global finance transformation programme and other critical stakeholders.
  • Introduced a comprehensive communications plan driving engagement and awareness of the programme globally.
  • Supports the global credit card rollout, providing six-figure savings and rebates by standardising worldwide spend with one card provider.

The result.

Successfully digitalised the multimillion-dollar T&E process globally, optimising the end-user experience and maximising productivity for thousands of Dentsu professionals worldwide.

Delivered 42 deploys to 23,500 employees across 33 markets and brands, covering 70% of global T&E spend.

Delivered on time and budget, meeting the ambitious seven-figure savings, efficiency gains, and deployment targets set by the client.

The speed of a country deployment went from five months to less than ten weeks, providing a time-saving improvement of more than 50%.
